Quick Start Guide

Key Features

The key features in Lily are Audience, Campaigns, Automations, Newsletter, Templates and Signup forms. They are all accessible directly from the left sidebar menu. You also find links to this functionality in the main content section. Here’s an overview of each of these important features, with step by step guides on how to use them.

Templates

We’ve made it easier, and smarter, to design engaging and beautiful newsletters, campaigns and automations here in Lily. With this brand-new version of our Template Builder, you can now create, customize and test templates faster than ever before. Here's how it works…

1. Getting Started: Creating a New Template

Sending an email campaign — or setting up an automation — has never been easier.

Start by clicking on the “Create new template” button in the top right corner. This takes you to the new Template Library, where you can:

  • Choose from ready-made Lily Templates for Automations (Before Event, After Event, Thank You), Newsletters, and Email Campaigns — allowing you to get started in just minutes.
  • Select the template you like, make any minor adjustments, and save it to the correct category (Automations, Newsletters, or Campaigns). It will then appear automatically when choosing a template in the corresponding section of Lily.
  • Scroll down to access and reuse your existing templates.

Tip: Remember to click Save Template regularly while working, as your progress isn’t auto-saved!

On the left, you find the various structures, followed by block (text, images, socials, video etc..), and on the right you find the general setting of the template.

2. Template builder layout

The new design gives you a clear overview and quick access to everything you need:

  • Left panel: Contains Structures (your layout framework) and Blocks (text, image, video, button, socials, etc.) you can drag into your template’s structures. 
  • Center editor: This is your live design area, where you build and edit your newsletters visually. 
  • Right panel: The Global Styles & Layout section lets you adjust background colours, fonts, width and message alignment. Here you’ll also find “Message Settings” where you can edit your hidden preheader and add UTM for Google Analytics.

3. Global Styles & Layout

Message width: Choose the width of your newsletter, push, or automation (max. 600px).

Message alignment:  Decide whether your message should be centered or aligned to one side. 

Default padding: Adjust margins on the sides (e.g., 20 left and 20 right).

General background color & font: Set a default background color and font for your email.

Tip: You can also go to Message Settings (In the global styles tab, top left button/icon) to:

  • Add or edit your hidden preheader (the short text visible in inbox previews)
  • Use Lily’s AI assistant to suggest short, engaging preheaders
  • Add UTM parameters for Google Analytics tracking.

4. Setting Headings

Select the “Heading tab” to define your tile styles. Here you can:

  • Choose the font type
  • Set the font size and color for each heading (H1, H2, H3)
  • Adjust line spacing and alignment.

This helps you keep newsletters consistent and on-brand.

5. Building a header

When starting from scratch, click on the “Insert header here” block, where the image tab will appear on the right hand side. Click on the round icon “Replace Image”, and:

  • Upload your header image from your device, or choose from images you’ve previously uploaded. 
  • Add a website link so recipients can click on the header and be taken directly to your website
  • You can adjust the alignment, size and padding in the right panel. 
  • To edit the container and structure of your header section, click the arrow in the top right corner of the image tab and go through the available settings.

6. Working with text

To edit text:

  • Click directly in the text area and start typing
  • Use the right tab “Text block” to change the font, size, color, alignment and merge tags.
  • You can edit both Styles (font, color etc) and Settings (Alignment, merge tags, padding)
  • To add a new text area, drag a Text Block from the left panel into your chosen structure. 
  • NEW: All structures and content blocks are now found on the left-hand panel for easy drag-and-drop access!

7. Adding Images

To insert or change an image, follow the same steps as when changing your header: 

  • Click the image icon in your template
  • Change or upload the image using the right-hand tab. 
  • You can link the image to your event page/program/website

Editing Images: Click the “Edit Image” Icon, next to the “Change Image” icon. 

Then you will be redirected to the image editor where you can for instance crop, resize, draw and change the background color of your image. You can also add text and frames. Then you click on save and your changes will appear. 

8. Adding Buttons

In the Blocks section, drag a Button Block into your email. Then you can choose between different editing options in Settings and Styles. 

  • Styles: Colors, borders, font etc. Here you develop the look of your button! 
  • Settings: Edit button text, alignment, padding etc. Here you also add your desired link. 

9. Adding Spacers

To create breathing room between sections, drag a spacer block into your layout. You can adjust its height, width and color in the right-hand editor panel. 

10. Adding Social Media Links

Add your social media links by dragging in the Social Block from the left panel. You can:

  • Choose icon styles (circle, square, color, white logos)
  • Add links for Facebook, Instagram, X and more
  • Add extra icons with the + button

11. Preview and Device Testing

At the top of the builder, you can now switch between mobile and desktop view to preview your design instantly. This makes it easier to ensure your template looks great on a mobile device as well. 

However, we always recommend to send a test at the bottom of the preview pop-up, and check your template on different email platforms, both on desktop and phone, as well as with and without dark mode (on iPhone especially). 

12. AI-Powered Subject Line Generator

With Lily’s new AI Subject Line Generator, you can now create effective, personalized subject lines directly inside your template, saving you time and effort when setting up campaigns.

When you write or generate a subject line in your template, it will automatically appear in your Campaigns, so there’s no need to re-enter or copy it later. This ensures consistency across your email setup and helps you get campaigns out faster.

To use it:

  1. Go to Message Settings in the right-side panel of the Template Builder.
  2. Enter your subject line manually — or click the AI icon to have Lily suggest one for you.
  3. Once you’ve saved your template, the subject line will automatically sync with your Campaigns in Lily.

Tip: Use the AI generator to test different tones or styles — such as creative, informative, or promotional — and see which ones drive the best open rates.

13. Saving and Publishing your Template

When you’re ready to save:

  • Click Save Template above the editor
  • Choose whether to update your existing version or Save as new (creating a copy)
  • Select where the template should be available: Automations, Newsletters, Campaigns. 

Final Tip: Start with a Lily Template to save time, they come with pre-built structures and styles that match best practices for readability and performance. 

Signup Forms

This section will cover how to set up a signup form in Lily. You can create as many signup forms as you need, depending on how and where you want to post these forms to collect new marketing consents. These will then show up in your Audience segment, where you can create an Audience for your signup form and create tailored newsletters and campaigns. 

You can also connect a signup form to Automatios, so that when a new person sign up, they will automatically receive a scheduled email thanking them for subscribing etc. 

Below, you will find all the steps you need in order to create this form:

  1. Click on the “Add new signup form” button, and it will take you to the signup form-builder. This one is divided into two sections: “New signup form” & “Fields to display in signup form”
  2. Firstly, you need to look at the “New signup form” section, and give it a name that will be displayed to the public, for example “Newsletter signup from Lily”. Then, you can give it an internal description (not visible to the public) to add any relevant info or details about this form. 
  3. Then, there is the public description. This is the short text that will be displayed under the heading (name), such as “sign up to our newsletter to get exciting news and updates from Lily….”. It is up to you how much you want to write here, we recommend 1-3 sentences. 
  4. Then there is the submit-button text, the text that will be displayed on the button that submits the signup form, such as “subscribe here”
    If you check the override colour button, you can choose the colour of both button and text, if you don’t want the standard black and white colours. 
  5. Now, you need to add your marketing consent text, basically the text outlining how you will manage their data and that they are agreeing to your various terms and conditions etc. Then you need to add the link to your website about privacy, GDPR, etc. below.
  6. Furthermore, there are some extra settings you can add to your form, such as your email address to receive notifications about new signups. You should also add your header/logo in the Image section.
  7. Then you tick the URL enabled button, and you will receive the link to your signup form.
  8. However, you also need to scroll up to the “Fields to display in signup form” box, and tick all the different fields you want your subscribers to fill out in order to submit the form. For instance, we recommend having them put in both Name, Surname, Email and Phone number→ but as you can see there are more categories to add, and its up to you how you want to segment your audience! If you want any custom fields in your form, we’ll help you set this up!
  9. Finally, you can scroll down and click on “Save” below the URL enabled section, and your form is ready to be used.

Embedded forms

To add a signup form to your website you must scroll down to the "Embedded form" section, and add this to your website. You just copy and paste the code shown in the grey box into your website. The code will load the signup form automatically from Lily’s platform, so you don’t need to build the form yourself. It also shows how to mark required fields. If some fields must be filled out (like name or email), you can add a red asterisk * next to the label. Just use the small bit of CSS code at the bottom. This helps them know which fields they must complete before submitting the form.

Templates

We’ve made it easier, and smarter, to design engaging and beautiful newsletters, campaigns and automations here in Lily. With this brand-new version of our Template Builder, you can now create, customize and test templates faster than ever before. Here's how it works…

Reports and analytics

Lily makes a large amount of data available about your customers. Here are the reports and analytics sections that are available out of the box:

Reports section

On the left hand side you find Reports, which gives you an overview of all your previous and scheduled email & SMS campaigns. You can see that you can get insights into when each campaign was scheduled and sent, and key metrics such as recipients, click and open rate. 

Then, you can also click on each individual campaign, and get even more in-depth data and insights into how the campaign went and what results it generated:

Dashboard

When you log into your dashboard, you are given a clear, data-driven overview of how your marketing is performing and how your audience is engaging with your events. Below, you will find an overview of each of these sections on your dashboard.

Popups

Firstly, you’ll see several key popups that provide valuable insights into your marketing and audience data. Here’s what each one means:

  1. Growth Marketing Consents: Shows how many new marketing consents you've collected over the last 30 days. Helps track audience growth and engagement with your marketing efforts.
  2.  Total Marketing Consents: Displays the total number of marketing consents collected to date. Provides a quick view of your overall audience reach for marketing communications.
  3. Ticket Sales: Tracks the number of tickets sold in the last 30 days. Compares ticket sales performance with the previous period.

These popups give you instant access to key marketing and audience insights, helping you make data-driven decisions effortlessly!

Upcoming events

This section displays updated ticket sales data about your upcoming concerts.

It is much easier to prioritize and take action based on this overview.

Your top 5 customers

In this section, you’ll find data about your most dedicated customers and how many purchases they have made.

We encourage Lily users to benefit from this information by making their best customers feel special – by reaching out to them, giving them discounts, or some other offer.

Numbers last 6 months

 This section makes it easy to track how your sales are going filtered by days, weeks and the last 6 months. 

You can view the number of orders and tickets sold over the last 6 months, the past few weeks, and each day within the last month.

Meta Lead Ads + Lily

With Meta Lead Ads, leads from Facebook and Instagram can be transferred automatically into Lily, so new subscribers and permissions are created without manual handling.

What happens?

  1. 1The lead is registered in Meta.
  2. 2Lily automatically retrieves the lead data.
  3. 3The profile is created or updated in Lily.
  4. 4The permission is stored on the profile.
  5. 5The person can immediately be used in segments, automations and campaigns.

How to get started

  1. 1

    Create a Meta Lead Ad

    Create a Lead Form in Facebook or Instagram with the fields you want to collect and the relevant consent text.

  2. 2

    Give Lily access

    Add Lily as a partner in your Meta Business Manager.

  3. 3

    Send the required information to Lily

    Lily needs:

    • Lead Form ID

    Lily connects the integration

    Lily configures the connection between your Meta Lead Form and your audience in Lily.

    Test

    We complete a test and verify that new leads are created correctly in Lily and that permissions are stored as expected.

What happens once it is live?

Once the integration is active, new leads are transferred automatically into Lily.

They can then be used for:

  • Email marketing
  • SMS marketing
  • Automations
  • Segmentation
  • Audience Insights
  • Campaigns
  • Pre-sales

Import an audience to Lily

Purpose

This guide shows how to export an existing audience, import it into Lily, and create it as a segment.

  1. 1

    Export the audience

    Export the audience/list you want to transfer to Lily.

    When the export is complete, you will receive a ZIP file.

    Extract the ZIP file so the CSV file is ready to upload to Lily.

    Upload the audience to Lily

    Go to:

    Audience → Upload Audience

    Then fill in:

    • Upload Name: Use the name of the exported audience/list.
    • Description: Use the same name.
    • File: Click Choose File and select the exported CSV file.

    Create an event

    Once the file has been uploaded, you will be taken to Configure uploaded audience.

    Click Add event in the upper-right corner.

    In the Add Event window, fill in:

    • Event Name: Use the same name as the audience/list.
    • Event Date: Use today's date.
    • Event Time: Use the current time.

    The other fields do not need to be completed for this process.

    Then click Add event.

    Check that Lily confirms that the event has been created.

    Select Marketing Consent, Data Source, and Event

    Continue configuring the audience.

    Marketing Consent

    If the contacts in the uploaded file have given marketing consent, enable:

    All contacts in uploaded file has given a marketing consent.

    NOTE

    The exact procedure to follow if not all contacts have given marketing consent must be clarified before this guide is finalized.

    Data Source

    Under Data Source, select:

    the relevant source for the imported audience

    Events

    Under Events, search for the event created in the previous step and add it.

    NOTE!

    Remember to add the event under Events by clicking the + on the right-hand side.

    Check the data under Preview

    Under Preview, the data from the CSV file must be mapped to the correct fields in Lily.

    A common setup may be:

    • Email → Email
    • First Name → First Name
    • Last Name → Last Name
    • Marketing Permissions Given Date/Time → Opt-in Time
    • Phone/Mobile → Mobile

    The mapping may vary depending on the data included in the file. Check that each field is mapped to the correct information before completing the import.

    Once the mapping has been checked, click:

    Finalize Import

    Create the segment

    When the import is complete, return to Audience.

    Click Add new segment.

    Then click:

    Select Events

    Find the event created earlier and click add.

    Because the event was created recently, it will normally appear at the top.

    Once the correct event has been selected, click:

    Filter and Save

    The audience has now been imported into Lily and is available as a segment.

Summary

Our recommendation for new users is to get familiar with the navigation quickly. Log into your account as soon as possible and have a look around the platform and explore its possibilities and functions. 

Furthermore, check out your automations and try adding a new one. You can also try and create a newsletter template and send it out to your test audience after adding a couple of upcoming events.
